The type of personal information I collect

I currently collect and process the following information:

  • Personal identifiers, contacts and characteristics (for example, name and contact details)

  • Allergy Alert Test and hair strand test details. I also keep notes of your colour formulas per appointment.                  How I get the personal information and why I have it.

Most of the personal information I process is provided to me directly by you for one of the following reasons:

  • Contact in the event of a change to your appointment or reminder of an existing appointment.

  • Legal obligation for safety reasons.

     I also receive personal information indirectly, from the following sources in the following scenarios:

  • verbal permission to take and use photographic images in the salon on social media and websites.

I use the information that you have given me in order to:

  • provide you with a good standard of service for your appointment.

  • Contact you in event of a change to your appointment.

  • Provide you with details of special offers, newsletters etc via email.

  • To give you the appointment details on booking and a reminder 48 hours before.

Under the General Data Protection Regulation (GDPR), the lawful bases I rely on for processing this information are: 

(a) Your consent. You are able to remove your consent at any time. You can do this by contacting Nikki Allen.

(b) I have a legal obligation.

How I store your personal information

Your information is securely stored at The Hair Retreat. The appointment system is provided by Fresha and is GDPR compliant, your information is only available to myself and yourself and will not be passed on to other parties. Laptop is passcode protected.

I keep your record cards for 7 years. One year after the date of your last appointment with me, they will be archived for the next 6 years then I will then dispose your information by shredding or burning the record. These are kept in a locked cabinet.

Your data protection rights

Under data protection law, you have rights including:

Your right of access - You have the right to ask me for copies of your personal information.

Your right to rectification - You have the right to ask me to rectify personal information you think is inaccurate. You also have the right to ask me to complete information you think is incomplete.

Your right to erasure - You have the right to ask me to erase your personal information in certain circumstances.

Your right to restriction of processing - You have the right to ask me to restrict the processing of your personal information in certain circumstances.

Your right to object to processing - You have the the right to object to the processing of your personal information in certain circumstances.

Your right to data portability - You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances. This doesn't include colour formulas, this remains my property.

You are not required to pay any charge for exercising your rights. If you make a request, I have one month to respond to you.

Salon Policies.

  1. All new clients must book in a consultation before any colour, Keratin or bridal appointment to check for skin reactions if required, (Allergy Alert Test), strand test and any other tests required, so we can talk what you want done, book out the right amount of time and choose colours and techniques suitable for your appointment. This must be done a minimum of 48 hours before and no more than 5 days before the colour appointment. Tests are not required for bridal, but it is a good idea to book in for a chat anyway.

  2. If you need to move an appointment or cancel please give me as much notice as possible and I will do you the same courtesy. Missed appointments or too short notice may be chargeable. I will send you a booking reminder 48 hours before your appointment. Illness cannot be helped.

  3. If you have a problem or a question or a complaint, let me know. I can't fix what I don't know about. The only stupid question is an unasked one. 

  4. Bookings are on my Fresha appointments website online. I cannot currently accommodate walk-in appointments, you may be turned away. Book so we both know where we are! They are GDPR compliant. You can book in through me by ringing or texting 07534961134, or book online yourself here.  Cancel for free up to 24 hours ahead, otherwise you will be charged 50% of the service price for late cancellation or 100% for not showing up. If no card details are registered I will send an invoice and you will not be able to book another appointment until paid. If this happens twice or more I will require payment up front 2 days before your appointment.

  5. Don't ask for credit, make sure you have the funds to pay for your appointment on the day. Tesco don't do it neither do I! I accept cash, card, Paypal, bank transfer or register your card details with Fresha.

  6. I am always happy to have feedback. If there is anything I can do to improve your experience here let me know. I would love a testimonial/review.

  7. Please be on time. I will try to let you know if I am running late, please do the same, I may not be able to overrun on a later booking.

  8. I am unable to use your colour, I am insured to use my professional colour only, purchased by myself from a professional supplier.

  9. I am unable to carry out a chemical service on under 16's, my insurance doesn't cover me. Under 18's need to be accompanied by a responsible adult for the duration of their appointment, (coffee or tea will be provided!)

  10. If you book a long appointment, such as a colour, then change your mind and tell me on arrival that you only want something else such as a cut, that is fine, but you will still be paying for the full appointment. If you wish to change it, I need at least 48 hours notice to be able to try and fill the time.
